Problem

Unreliable tutor profile data resulted from an outdated profile system and limited tutor control over updating their own information.

The existing tutor profile page was outdated and did not reflect how PLUS operates across multiple universities. Tutors could not easily update their information, causing profile data to become incomplete or outdated. This limited how internal teams and tools could reliably use tutor data for operations, research, and coordination.

Solution

Introduce clear profile sections and system states to improve usability and data reliability across tutors and supervisors workflows.

The redesign structures tutor information into clear sections and distinguishes editable fields from system-managed data, making profiles easier to maintain while supporting reliable operational data.

Phase 1

Organize tutor information into clear, scannable sections.

Designed to improve usability and reduce cognitive load by grouping related profile fields into meaningful sections.

  1. I improved profile scan-ability through clearer information architecture

My initial assumption was that the existing layout prioritized low-value interface elements while taking attention away from important tutor information. After auditing products like LinkedIn, Slack, GitHub, Khan Academy, and Duolingo, I identified opportunities to reduce visual clutter, reorganize unrelated fields, and group tutor information into clearer operational sections.

My Initial Idea

My Initial Idea

  1. I defined which profile information tutors could edit to improve data reliability and reduce confusion

Through iteration with developers, admins, and stakeholders, I identified which profile fields tutors should manage themselves versus which fields needed to remain system-controlled for operational reliability.

Ownership model I landed on

Tutor Owned

System-managed

  1. I expanded profile attributes to support more complete tutor information

I expanded the profile system to capture additional tutor information needed for supervision, communication, and matching workflows. To accelerate exploration, I used AI-assisted ideation to test different field groupings, section structures, and UX wording patterns while aligning designs with the PLUS design system.

Final structure

  1. I reframed the profile around personal identity to encourage profile completion and maintenance

I introduced profile photos to make the experience feel more personal and tutor-owned rather than purely administrative. Reframing the profile as an identity surface helped encourage tutors to maintain more accurate and complete information over time.

Phase 2

Centralize tutor information into one consistent supervisor workflow

Redesigned the tutor's supervisors view to consume the tutor profile fields, helping supervisors more quickly identify, contact, and manage tutors by consolidating identity, readiness, and operational context into a single admin surface.

Redesigned the tutor's supervisors view to consume the tutor profile fields, helping supervisors more quickly identify, contact, and manage tutors by consolidating identity, readiness, and operational context into a single admin surface.

  1. I used AI-assisted ideation to rapidly explore scalable admin workflow patterns

To rapidly explore new admin layout patterns, I used AI-assisted tools like Google Stitch and Figma Make to generate and iterate on multiple modal structures and information hierarchies.

Layouts Explored

  1. I updated profile fields to better support tutor comfort and supervisor needs

Another round of feedback from tutor supervisors, PMs, and developers helped refine how tutor identity, communication, and operational context should appear across the admin workflow.

  1. I finalized a scalable tutor management workflow that made tutor information easier to navigate and manage

I finalized the workflow by refining the layout, hierarchy, and component organization based on feedback from supervisors, PMs, and developers. The final design consolidated tutor identity, communication, sessions, and profile context into a clearer and more scalable experience that made tutor information easier to navigate and manage.

Key Decisions

Clear organization and recognizable patterns made tutor information easier to scan and manage
Quick tutor recognition

Quick tutor recognition

Profile photo, name, university, pronouns, lead tutor status, and completion state give supervisors a quick snapshot of who the tutor is.

Scalable navigation

Scalable navigation

Tabs organize profile, status, matching, and session information into predictable sections instead of one long form.

Grouped profile details

Grouped profile details

Identity and contact information are grouped into focused sections so supervisors can review and update details faster.

Focused admin actions

Focused admin actions

Actions like editing or deleting a tutor are kept accessible through a settings menu without overcrowding the main workflow.

Impact & Outcomes

Clearer profile experiences increase completion, visibility, and usability

Since the redesign is currently in development, we defined success metrics to evaluate the experience.
